Key Responsibilities

  • Provide comprehensive administrative and operational support to the management team and various departments.
  • Manage office supplies, equipment maintenance, and facility coordination to ensure a smooth-running environment.
  • Organise and schedule meetings, appointments, and travel arrangements, managing calendars effectively.
  • Prepare and edit correspondence, communications, presentations, and other vital documents with accuracy.
  • Maintain accurate and up-to-date records, databases, and filing systems (both digital and physical).
  • Assist with precise data entry, report generation, and basic financial administration tasks, such as expense processing.
  • Act as a first point of contact for internal and external queries, redirecting appropriately and efficiently.
  • Support the onboarding process for new employees, including documentation, IT setup, and workstation preparation.
  • Proactively contribute to the continuous improvement of office processes and administrative procedures.
  • Handle confidential information with the utmost discretion and professionalism at all times.

Required Skills

  • Proven experience as a Business Support Officer, Office Manager, or Senior Administrator (minimum 2 years).
  • Exceptional organisational and time management skills with the ability to multitask and prioritise effectively in a busy environment.
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office software.
  • Strong verbal and written communication skills, with an ability to articulate clearly and concisely.
  • Excellent attention to detail and strong problem-solving abilities.
  • Demonstrated ability to work both independently and collaboratively within a team.
  • A high level of professionalism and discretion when handling sensitive information.

Preferred Qualifications

  • Experience with CRM software (e.g., Salesforce, HubSpot or similar recruitment systems).
  • Knowledge of basic accounting principles or experience with financial administration tasks.
  • Familiarity with the recruitment industry or a fast-paced professional services environment.
  • A relevant administrative qualification or certification (e.g., NVQ in Business Administration).
