Hiring.zycto is actively seeking a dedicated Project Coordinator to join our vibrant team in West Point Grey, Vancouver. As a Project Coordinator, you will be the backbone of our project management efforts, working closely with Project Managers, team members, and stakeholders to ensure seamless project execution. Your primary focus will be on maintaining project plans, tracking progress, managing documentation, and facilitating communication across all levels. We are looking for someone who can anticipate needs, proactively solve problems, and ensure that all project deliverables are met on time and within budget. You’ll be instrumental in scheduling meetings, preparing comprehensive reports, monitoring deadlines, and ensuring resources are allocated effectively. Key Responsibilities

  • Assist Project Managers in the development, maintenance, and monitoring of project plans, schedules, and budgets.
  • Coordinate and schedule project meetings, prepare agendas, document minutes, and track action items to ensure timely completion.
  • Manage project documentation, including reports, presentations, contracts, and other relevant materials, ensuring they are accurate and up-to-date.
  • Facilitate effective communication among project team members, stakeholders, and external vendors.
  • Track project progress, identify potential risks or issues, and escalate concerns to Project Managers as needed.
  • Assist in resource planning and allocation, ensuring that project teams have the necessary tools and support.
  • Prepare regular project status reports and presentations for various stakeholders.
  • Support the onboarding of new project team members and assist with training on project tools and processes.
  • Ensure compliance with company policies, project management methodologies, and quality standards.

Required Skills

  • Minimum 2 years of experience in a Project Coordinator or similar role.
  • Exceptional organizational and time management skills with strong attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management software (e.g., Jira, Asana, Monday.com).
  • Excellent written and verbal communication skills.
  • Demonstrated ability to manage multiple tasks concurrently and prioritize effectively.
  • Strong problem-solving and analytical abilities.
  • Ability to work independently and as part of a collaborative team.

Preferred Qualifications

  • Bachelor’s degree in Business Administration, Project Management, or a related field.
  • Certified Associate in Project Management (CAPM) or actively working towards PMP certification.
  • Experience in the technology or consulting industry.
  • Familiarity with Agile methodologies.
