Key Responsibilities
- Manage patient scheduling, appointments, and walk-ins efficiently.
- Answer phones, direct calls, and respond to patient inquiries with professionalism and empathy.
- Process patient registrations, update demographics, and verify insurance information accurately.
- Maintain accurate and confidential electronic and physical patient records in compliance with privacy regulations.
- Prepare examination rooms, sterilize instruments, and assist physicians and nurses as needed.
- Handle billing, invoicing, and payment processing, including liaising with insurance companies.
- Manage incoming and outgoing correspondence, faxes, and referrals.
- Order and maintain office and medical supplies inventory to ensure smooth clinic operations.
- Ensure the waiting area and reception are tidy, welcoming, and organized.
- Collaborate effectively with medical staff to optimize patient flow and clinic efficiency.
Required Skills
- Proven experience as a Medical Office Assistant or similar administrative role (2 years minimum).
- Proficiency in medical office software (e.g., EMR systems, scheduling software).
- Excellent written and verbal communication skills.
- Strong organizational and time management abilities with the capacity to prioritize tasks.
- High level of accuracy and meticulous attention to detail.
- Ability to handle confidential patient information with discretion and integrity (HIPAA/PHIPA compliance).
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Customer service-oriented approach with empathy, patience, and a positive attitude.
Preferred Qualifications
- Medical Office Assistant Diploma or Certificate from an accredited institution.
- Knowledge of medical terminology, basic anatomy, and common medical procedures.
- Familiarity with billing codes (e.g., ICD-10, CPT) and provincial health regulations (e.g., MSP in BC).
- Experience with specific EMR systems widely used in British Columbia.
- Basic first aid and CPR certification.
