Key Responsibilities
- Manage intricate calendars and scheduling for multiple executives, including meetings, appointments, and travel arrangements.
- Act as a primary point of contact, screening calls, emails, and visitors, and directing inquiries appropriately.
- Prepare, proofread, and edit confidential correspondence, reports, presentations, and other documents.
- Coordinate and organize high-level meetings, including agenda preparation, minute taking, and follow-up on action items.
- Arrange complex domestic and international travel itineraries, including flights, accommodation, and ground transportation.
- Process expense reports, invoices, and other financial documentation with accuracy and timeliness.
- Conduct research, compile data, and prepare summaries for executive review and decision-making.
- Assist with special projects and initiatives as assigned by senior leadership, often requiring independent judgment and initiative.
- Maintain a highly organized and efficient executive office, including file management and office supply procurement.
- Facilitate communication between executives and internal/external stakeholders, ensuring professional and timely responses.
Required Skills
- 5+ years of experience as an Executive Assistant or Executive Coordinator supporting C-level executives.
- Exceptional organizational and time management skills with the ability to prioritize effectively.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Workspace.
- Superior written and verbal communication skills, with keen attention to grammar and detail.
- Proven ability to handle confidential information with discretion and professionalism.
- Strong problem-solving abilities and a proactive approach to anticipating needs.
- High degree of adaptability and flexibility to manage changing priorities and deadlines.
- Ability to work independently with minimal supervision while also collaborating effectively with a team.
