Key Responsibilities

  • Process new scheme entrants, leavers, transfers, and retirements accurately and efficiently.
  • Calculate pension benefits in accordance with scheme rules, trust deeds, and statutory requirements.
  • Respond to member queries promptly and professionally via phone, email, and letter, maintaining a high level of customer service.
  • Maintain accurate scheme records and consistently update pension administration systems.
  • Prepare and issue annual benefit statements, transfer value statements, and other essential member communications.
  • Assist with the reconciliation of scheme data and financial transactions, ensuring data integrity.
  • Support the preparation for scheme trustee meetings and provide necessary reports and documentation.
  • Ensure strict compliance with relevant pension legislation and regulatory requirements (e.g., TPR, HMRC).
  • Collaborate effectively with internal teams and external providers to resolve complex cases and escalate issues where appropriate.
  • Contribute actively to ongoing process improvements and system enhancements to optimise efficiency.

Required Skills

  • Proven experience as a Pensions Administrator or in a similar administrative role within financial services (minimum 2 years).
  • Strong understanding of defined benefit (DB) and/or defined contribution (DC) pension schemes.
  • Exceptional attention to detail and a high level of accuracy in all tasks.
  • Proficiency in Microsoft Office Suite, particularly Excel for data analysis and reporting.
  • Excellent written and verbal communication skills, with the ability to articulate complex information clearly.
  • Demonstrated ability to manage a diverse workload, prioritise tasks, and meet strict deadlines.
  • Strong analytical and problem-solving abilities, capable of identifying and resolving discrepancies.
  • High level of integrity and ability to handle confidential member and scheme information discreetly.

Preferred Qualifications

  • Relevant professional qualifications (e.g., PMI Award in Pensions Administration, Certificate in Pensions Automatic Enrolment).
  • Experience with specific pension administration software (e.g., Profund, Altair, PenScope, Aquila).
  • In-depth knowledge of current pension legislation and the regulatory landscape in the UK.
  • Previous experience in client relationship management or direct member interaction in a pensions context.
