This vital full-time role involves managing, maintaining, and ensuring the confidentiality of patient health information (PHI) in accordance with all regulatory guidelines. In this role, you will work closely with healthcare providers, administrative staff, and patients to ensure timely and precise record management. Your day-to-day will involve electronic health record (EHR) system navigation, data entry, scanning, indexing, and responding to record requests while strictly adhering to HIPAA regulations. Key Responsibilities

  • Manage and maintain accurate patient medical records, both electronic and physical, ensuring data integrity and confidentiality.
  • Process incoming and outgoing medical record requests from patients, providers, and external entities in compliance with HIPAA and other relevant regulations.
  • Perform precise data entry, scanning, indexing, and filing of medical documentation into the Electronic Health Record (EHR) system.
  • Audit medical records for completeness, accuracy, and adherence to established internal policies and regulatory standards.
  • Assist healthcare staff with navigating the EHR system and retrieving necessary patient information.
  • Ensure strict adherence to all HIPAA guidelines and other privacy laws related to patient health information.
  • Organize and maintain filing systems for easy retrieval of physical records, when applicable.
  • Collaborate with various departments to resolve discrepancies and ensure smooth information flow.
  • Participate in ongoing training and professional development to stay current with best practices and regulatory changes.

Required Skills

  • Minimum 1-2 years of experience in medical records management or a related administrative healthcare role.
  • Proficiency in Electronic Health Record (EHR) systems and medical terminology.
  • Strong understanding of HIPAA regulations and patient confidentiality.
  • Exceptional attention to detail and accuracy in data entry and record keeping.
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively.
  • Strong written and verbal communication skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook).

Preferred Qualifications

  • Associate's or Bachelor's degree in Healthcare Administration, Information Technology, or a related field.
  • Certification as a Registered Health Information Technician (RHIT) or Medical Office Assistant (MOA).
  • Experience with specific EHR systems commonly used in large healthcare organizations.
