Key Responsibilities
- Manage and coordinate office administrative procedures and systems, ensuring smooth operations.
- Handle incoming and outgoing communications, including emails, calls, and mail, with professionalism and discretion.
- Organize and schedule meetings, appointments, and travel arrangements for team members and management.
- Maintain physical and electronic filing systems, ensuring accuracy, accessibility, and confidentiality.
- Prepare and edit correspondence, reports, presentations, and other documents to a high standard.
- Assist with budget management, expense tracking, and basic invoicing processes.
- Order and maintain office supplies, ensuring adequate stock levels and cost-efficiency.
- Coordinate with vendors and service providers, managing relationships and service agreements.
- Support team members with various administrative tasks and special projects as needed.
- Ensure office equipment is well-maintained and functional, troubleshooting minor issues.
- Greet visitors and direct them appropriately, serving as the first point of contact for the office.
Required Skills
- Proven experience as an Administrative Coordinator, Office Manager, or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
- Excellent organizational and time management skills with the ability to multitask effectively.
- Strong verbal and written communication abilities in English.
